Sharing your documents
This service enables you to share your official documents online with third parties, such as recruiters, local authorities, banks, etc. These third parties can authenticate your shared documents online at a secure website controlled by Dublin City University. Document sharing works by generating a unique, random URL which points to the secure document verification service at Dublin City University. You can configure the level of access control associated with the URL and how long the document can be accessed at the URL.

To share a document online, simply click on the Sharing top-level menu item, and select share a document online. You will be presented with a list of documents that you can share online. Click share beside the document you wish to share. Instructions will be displayed on the page to guide you through the process.

Configuring document shares
Before generating the share URL, you must configure the document share. You can configure:
  • access control (who can access your document)
  • share expiry (the length of time that your document is shared at the generated URL)
  • delivery method (how the share URL is distributed to your recipient(s))
For maximum security and data privacy, it is recommended that when creating a document share, it is created for a specific email address (you must know the email address of your recipient), and that the delivery method is by secure email. This way, your receipient will receive the URL directly by certified email from Dublin City University.

The on-screen instructions will guide you through the creation of a document share URL. Once created, your share URL will displayed on screen for your reference. If certified email was chosen as the delivery method, the share URL will be sent along with usage instructions for your configured recipient.

Modifying shares
Once a share is created, you can use this system to modify certain aspects of the share configuration such as the validity period, the access control level, and whether or not the share is online. To modify an existing share configuration, click on sharing from the top-level menu, and click on view document shares. This will provide you with a list of documents currently being shared by you. You can modify individual document shares by clicking on the edit button beside the share in question, or you can use this option to take multiple shares offline at once.

Shutting down access
In situations where access to your documents needs to be shut down quickly, you can immediately disable all online access to your documents. To do this, click on sharing from the top-level menu, and click on disable all shares. This will provide you with a sum total of all document shares that you are sharing online, and will prompt you to confirm your actions. All online shares will be immediately taken offline and the URLs in question will no longer point to your document(s).
